Happy Holidays from TVMA

We just want to take a moment to thank you for your dedication and support during 2013. As we near the New Year, we remain committed to helping you achieve success that leads to new opportunities and growth. May your holiday season and New Year be filled with peace, joy and spectacular success!

From all of us at TVMA, happy holidays!

Giving Back

TVMA staff has made a tradition of giving back to the community around the holidays. This year, our staff volunteered their time and gift-wrapping talents at the Travis County Brown Santa Warehouse. Brown Santa will help more than 1,500 families this year. We are proud to help with this wonderful cause.

Survey Responses

Thank you to everyone who took the time to respond to the TVMA member and non-member surveys! We received 255 non-member responses and 631 member responses. The drawing for the winners of the free Southwest Veterinary Symposium registration will take place in the next couple of weeks, and information from the surveys will be published in the February Texas Veterinarian.

Survey Deadline Extended

Due to the Thanksgiving holiday keeping many of our members away from their computers and with their families (as they should be!), we are extending the deadline for taking the member survey. An email was sent out two weeks ago requesting your participation in a 10-minute membership survey. If you are one of the many who have already taken the survey, THANK YOU! If you have not yet taken the survey, we are far from reaching our participation goal. We know your time is precious, but the information we collect will help us identify areas where we can improve our services to our members or add new services and activities. Please set aside 10 minutes to give us your feedback. Survey closes Friday, December 6.

(DVM Members Only) Click HERE to take the survey.

Committee Appointments

We are in the process of finalizing committee appointments for 2014. If you indicated an interest in serving on a committee next year either by an email or with your membership renewal earlier this year, you should receive a letter in late December or early January notifying you of the appointment. Most committees will meet during the TVMA Annual Conference in College Station on Friday, February 28.

November 2013

Give Us Your Two Cents...

And we’ll give you a chance to win free registration (value $460) to the 2014 Southwest Veterinary Symposium (SWVS) in Fort Worth, Texas!

The survey email was sent out last week requesting your participation in a 10-minute survey. While many have responded, we are far from reaching our participation goal. We know your time is precious, but the information that we collect is incredibly essential to helping us identify areas where we can improve our services to our members or add new services and activities. Please set aside 10 minutes to give us your feedback. Survey closes December 6.

(DVM Members Only) Click HERE to take the survey.

Thankfulness

In November, we are reminded to think about what we are thankful for. TVMA is thankful for:

  • Serving a great profession filled with intelligent, hard-working and compassionate members
  • Dedicated members who give their time and talents fulfilling the mission of TVMA
  • The many donors who made our beautiful office building possible
  • Our leaders who recognize the need to continually develop and explore new ideas and emerging technology
  • Great working relationships with state agencies that allow us to work together on issues of interest to our members
  • A strong relationship with the Texas A&M College of Veterinary Medicine and Biomedical Sciences—the administration, the faculty and the students
  • Our partnership with surrounding states to create the Southwest Veterinary Symposium to offer the best all-around value in continuing education in the Southwest
  • A dedicated team of staff members who work together to help carry out the goals of the association

THANK YOU to our members for making TVMA a great organization!

Member Survey Coming Your Way

You may recall we mentioned back in August that we would be sending out a number of surveys to collect the information needed to move forward with the different goals as outlined in our five-year strategic plan. A primary focus is how to better serve our members. An email will be sent out next week requesting that you participate in a 10-minute survey. We know your time is precious, but the information that we collect will help us identify areas where we can improve our services to our members or add new services and activities. When you see this email, please set aside 10 minutes to give us your feedback.

Congratulations to Our Cover Art Contest Winners

Congratulations to Drake Bennett (age 9), son of Dr. and Mrs. Brady Bennett, for his realistic drawing of a veterinarian performing an examination. Drake took his dog, Loki, in to see the veterinarian (his father) for a check-up. He got to “assist” in the check-up, and since then, he loves going in to “help” his dad at work whenever he can. This was the inspiration for his drawing. Drake received an iPad mini as the grand prize for the contest.

Jessie Carbonell submitted the second-place drawing. and the runners up are Alex Richter (age 10) and Isabel Templeman (age 5). All three received prizes as well.

Thank you to TexCap-Concord Insurance Services and The Platinum 401(k) for sponsoring the contest. We hope to hold a cover art contest next year for the 2015 directory for middle school students, so be on the lookout next summer for information.

Get Involved! Join a Committee

Did you know that TVMA has more than 25 committees that work to address all facets of veterinary medicine? This roster of committees includes veterinary practice, disaster preparedness, public education, animal welfare and so much more.

Here are just four reasons why serving on a committee might interest you:
1. Meet and work with new people
2. Help develop and promote group vision and goals
3. Participate in discussions that impact your profession
4. Develop leadership skills

Committee assignments will be finalized by late November. Annual committee appointments take effect at the TVMA Annual Conference in late February. Committees are open to all interested TVMA members. If you would like to be involved on a committee but have not yet expressed your interest, please log in to your account at www.tvma.org and make committee selections on your "Edit Profile" page, or contact TVMA Associate Director Devorah Jakubowsky at 512/452-4224 or djakubowsky@tvma.org. Are You Missing Referrals?

A number of members use the TVMA directory (yes, the old-school, hard-copy, spiral-bound printed directory) when referring clients who are moving to other areas of the state. Don't miss the opportunity to receive referrals from your colleagues! If you have had recent changes to your contact information, including clinic address, phone or email address, please log in to your account profile and make sure all of the information that gets printed in the directory is as current as possible.

The Business of TVMA

TVMA held a number of business meetings at the Southwest Veterinary Symposium last month. A total of 21 committees met to discuss topics and issues relevant to their particular scope and charge, including veterinary practice, professional advancement, disaster preparedness, public heath and more. The TVMA Board of Directors met over two mornings to hear reports from various groups and regulatory agencies and to consider items brought before them from the committees. A list of highlights from these meetings will be included in an article in the December Texas Veterinarian.

Thank you to all of our volunteers who serve on the board and committees for your time and commitment to TVMA and the veterinary profession in Texas.

Wondering How To Get Involved?

Join a committee! Most committees require a minimal time commitment, meeting just two times per year—during the TVMA Annual Conference and the Southwest Veterinary Symposium. If you are not currently serving on a committee but would like more information about serving on one, please contact TVMA Associate Director Devorah Jakubowsky at 512/452-4224 or djakubowsky@tvma.org. Surveys Are Fun!

"Surveys are fun!," said nobody ever. But your input is extremely important. From the Five-Year Strategic Plan that was approved by the TVMA Board of Directors in March came a number of bold goals, including increasing revenues, increasing membership and member engagement, strengthening legislative influence, promoting public awareness and expanding outreach to name just a few. Task forces and committees have been formed, and many of the strategic goals will require collection and analysis of information, ideas and opinions. You will see a number of surveys come your way in the following weeks and months. It is critical to the success of the strategic plan and the continued growth and vitality of TVMA that we receive as many responses as possible to develop the most effective actions to move TVMA toward these goals. Your willingness to participate is greatly appreciated.

TVMA Seeks Peer Review Committee for Website

As many of you may have read in our latest issue of The Source e-newsletter, the Texas Veterinary Medical Association (TVMA) will be launching a public-facing website called TexVetPets.org with a mission of educating and informing Texas pet owners by providing reliable pet health information from Texas veterinary professionals. We envision TexVetPets.org as a website centered on content created by TVMA members and managed and edited by TVMA staff. The website is an opportunity for TVMA to greatly increase its interaction with the public and to gain the recognition that we need to become the statewide authority on animal health and welfare.

In order to offer Texas pet owners reliable information that has been reviewed and approved by veterinary professionals, we are looking for TVMA members who are board-certified DVMs to serve on a small peer review committee of no more than five members. If you find that you are not enthusiastic about writing but are looking for a way to participate in the TexVetPets.org project, this could be a great opportunity to contribute.

Members of the peer review committee would receive no more than five articles of fewer than 900 words once per week to review the content for scientific and factual accuracy and ensure that any advice offered is generally accepted in the veterinary community. TVMA staff would oversee all other content and copy editing. This would be a yearlong commitment so as not to overwhelm one group of members and also give more interested members the opportunity to serve on the committee. The TVMA Public Relations Committee will have final approval of members of the peer review committee.

We are still looking for members interested in contributing articles to TexVetPets.org, especially those members with expertise in equine and exotic medicine. If you're interested in participating or have any questions, please contact TVMA Communications Associate Lauren Peña at lpena@tvma.org or 512/452-4224.

Membership Renewals: Check Your Inbox

Membership renewals were sent out via email in mid-May. Instructions for renewing your membership online were included in the email, and we encourage you to log in to confirm your profile information. Paper renewal statements will be sent in the mail next week to those who have not completed the online renewal process. Thank you to those who have already taken the opportunity to renew!

Dues Increase: In an effort to ensure that TVMA continues to provide essential
programs, services and advocacy to support our members' success, the TVMA Board of Directors has approved a small increase in dues for 2013-2014. The $20 increase to $315, the first since 2008, is meant not only to offset inflation but also to support the implementation of an aggressive new strategic plan for the association and to increase the effectiveness of the TVMA Political Action Committee (VPAC) at the state capitol.

TVMA Seeks Contributors for New Public-Facing Website

As outlined in the recently adopted Five-Year Strategic Plan, the Texas Veterinary Medical Association (TVMA) will be launching a public-facing website called TexVetPets.org with a mission of educating and informing Texas pet owners by providing reliable pet health information from Texas veterinary professionals. We envision TexVetPets.org as a website centered on content created by TVMA members and managed and edited by TVMA staff. The website is an opportunity for TVMA to greatly increase its interaction with the public and to gain the recognition that we need to become the statewide authority on animal health and welfare.

In order to offer Texas pet owners a wealth of reliable information, we are looking to develop a roster of volunteers within TVMA who would be willing to contribute content to the new website. For example, some of the categories of information on the site likely would include species overviews, general wellness, health concerns, behavior and the veterinary profession. There will also be opportunities for Texas pet owners to contribute photos and videos in a Pet Social section.

We ask that contributors be willing to submit four or more articles a year. The article topics will be assigned at first, but suggestions also will be welcome. You will also receive word count guidelines (submissions will typically be between 400 to 600 words) and deadlines for your submissions. All submitted articles will undergo peer review as well as editing by TVMA staff before publication on TexVetPets.org.

We also would like to gather photos to display on the website of pets and patients from TVMA members. If you are interested in contributing photos, please contact TVMA Director of Communications Abel Almendarez at aalmendarez@tvma.org or 512/452-4224.

TexVetPets.org is a way for TVMA to strengthen our reputation among and relationship not only with Texas pet owners but also with the media, legislators and other organizations. We encourage our members to have an active role in the direction of the website. If you're interested in participating as a contributor or have questions about TexVetPets.org, please contact TVMA Communications Associate Lauren Peña at lpena@tvma.org or 512/452-4224.

Would you or someone you know like to play an active role in the leadership of the Texas Veterinary Medical Association (TVMA)? TVMA is seeking a member who is willing and able to provide leadership in the financial life of the association as TVMA’s treasurer.

TVMA invites members of the association to nominate candidates to be considered for the position of treasurer of TVMA. Self-nominations are welcome. Knowledge of the association and experience with budgets and finance is highly desirable. Nominations should contain a description of the nominee's professional accomplishments and experience with the association. Please do not submit a nomination without the candidate's consent.

The TVMA treasurer serves a one-year term, but an individual interested in serving multiple terms is preferred. The individual selected will officially begin service at the TVMA Annual Conference in March 2014 but will be invited to participate in the budgeting process beginning in April of this year.

The ideal candidate will:

• Have experience in or an aptitude for financial oversight and budgeting
• Have an eye for detail
• Have an understanding of financial reports
• Be interested in the work of TVMA
• Be committed to the mission and success of TVMA
• Be available to work with staff
• Have time to give

According to the TVMA bylaws, the treasurer shall:

A. Be custodian of all funds of TVMA, responsible for the proper accounting of all receipts and?disbursements and the maintenance of a file of all vouchers and invoices accompanying them for a period of not less than five (5) years

B. Review the financial records of TVMA monthly and make detailed reports of the financial?status of TVMA at every regular session of the Executive Committee and Board of Directors and?at other times as the president may request

C. Annually have the fiscal records of TVMA audited by a certified public accountant and?provide a report on said audit to the Executive Committee at the annual business meeting

D. Co-sign checks with either the president or the executive director for legitimate expenses

E. Turn over all funds, property and records to his/her duly appointed successor

F. Serve as co-chair of the Budget and Finance Committee

H. Serve as member of the Legislative Committee

In addition to the responsibilities listed in the bylaws, the treasurer also serves as a member of the TVMA Executive Committee and serves as the treasurer of both the Texas Veterinary Medical Foundation and the TVMA Veterinary Political Action Committee.

Despite how intimidating this may sound, you will not be placed in front of a 10-key, running tapes to balance receipts, nor will you be expected to enter figures into an Excel spreadsheet. TVMA has a well-qualified finance department that handles the day-to-day financial operations of the association, ensuring that your time is spent on oversight and high-level, critical and strategic thinking. If this sounds like a role you or someone you know would be interested in, please be sure to submit your nomination by March 1.

Please send nominations to TVMA Executive Director Chris Copeland via email at ccopeland@tvma.org, fax at 512/452-6633 or regular mail at 8104 Exchange Drive, Austin, Texas, 78754. You may contact Mr. Copeland with any questions about the position via telephone at 512/452-4224.

Business Meetings – Thank You

Thank you to all of the members of the Executive Committee, Board of Directors and committees who attended meetings in College Station this past weekend. Their hard work and dedication accounts for more than 1,000 collective volunteer hours during the three-day meeting.

From those discussions, TVMA staff came back with a number of action items to take care of or oversee over the next few months, including legislative action, updating website content, researching member services and beginning implementation of the newly approved five-year strategic plan. Many of the action items will require even more volunteer time and effort to complete. TVMA is fortunate to have dedicated members step up when asked to serve. It is because of our members that TVMA is the leading advocate for the veterinary medical profession in Texas.

If you are not currently serving on a committe, but would like more information about serving on one, please contact Devorah Jakubowsky at the TVMA office at djakubowsky@tvma.org or 512/452-4224.

TVMA Board of Directors Approves 5-Yr Strategic Plan

TVMA conducted a strategic planning process between October 2012 and February 2013. This process directly engaged 19 members and staff in two retreats and engaged many more in various ways under the guidance of an experienced strategic planning consultant. The purpose of this effort was to provide a realistic roadmap to enable TVMA to fulfill its mission and thrive in the coming five years. The Board of Directors approved this plan on March 2, 2013. Look for an article in the April Texas Veterinarian to see what big plans we have in store for the association!

The complete strategic plan document is available for review HERE. Please feel free to contact TVMA Executive Director Chris Copeland at ccopeland@tvma.org or 512/452-4224 with any question or concerns about the strategic plan.

Committee Appointment Letters are in the Mail

Most of the TVMA committee rosters for 2013 are completed, and if you expressed an interest in serving on a committee, you should have received a letter in the mail this week notifying you of your appointment for the year. The exceptions to this are the committees for Industry Advisory, Legislative, Practice Management, RVT Exam Subcommittee and Technician Oversight Committee. These five committee rosters are still being finalized. Letters for these committees should be mailed out no later than this Friday. If you expect to be appointed to a committee and you do not receive a letter by Wednesday, January 30, please call TVMA Associate Director Devorah Jakubowsky at 512/452-4224.

Outgoing committee member thank-you letters were sent out earlier this month. Many times a member is removed from a committee due to lack of attendance at meetings over the past year or not indicating an interest to serve again. We know that there are times when it is not possible to make every meeting, so if you feel you were removed from a committee roster in error and would like to continue to serve, don’t hesitate to contact Devorah at the TVMA office.

Happy New Year from TVMA

Out with the old, in with the new, right? Wrong. TVMA prefers a play on this Girl Scout song: "Make new friends/keep the old/one is silver/and the other’s gold." Every new member of TVMA is like silver. If you take good care of your silver, you’ll get years of service and long be able to enjoy its beauty. Every longtime member is as precious as gold. As we begin a new year, we want to thank you for your continued support of TVMA and your profession. Thank you for being TVMA’s silver and gold.

Committee Appointments

Committee rosters for 2013 are almost finalized. If you indicated an interest in serving on a committee next year either by an email or with your membership renewal earlier this year, you should receive a letter in the next week or so notifying you of the appointment. If you expect to be appointed to a committee and you do not receive a letter by Friday, January 18, please call TVMA Associate Director Devorah Jakubowsky at 512/452-4224.

Most committees will meet during the TVMA Annual Conference in College Station on the afternoon of Friday, March 1.

PRACTICE TIPS:
  1. Answer the phone. Have a real person answer your phone within 3 rings. Veterinary clients want a human voice, not an electronic phone system.
  2. Greet clients with a smile. Treat them as you would a guest in your home.
  3. Enter the exam room prepared. Take a moment to review the record and the patient's history and know why your client is there. They will appreciate this and it shows you care.
